Email and collaboration

This part of the guides covers how your team keeps each other informed: comments on tasks and documents, subscriptions to the records you follow, the notifications they send, and email for firms that use it in EVX Software.

What you will find here

  • Email accounts: connect an email account to EVX Software. Your administrator can add accounts for the firm, and users whose role allows it can add their own.
  • Using email in EVX Software: read, write, and file email in EVX Software, for firms that use the email module.
  • Comments: discuss a task, document, or other record where the work happens.
  • Subscriptions: follow a record so you hear about its changes and comments.
  • Notifications: the messages EVX Software sends when something you follow changes.

How it fits together

A comment stays with the record it belongs to, so the conversation about a task or a report is in one place for the whole team. Subscriptions decide who hears about it: the people assigned to a task are subscribed, and you can add anyone else who needs to follow it. Notifications follow your subscriptions and your permissions, so each person hears only about work they can see.

Example: following a field task

A project manager subscribes to the confirmation sampling task of a remediation project. When the field team marks the task as started and adds a comment about groundwater at the excavation, she receives a notification and answers in the same comment thread, so everyone on the project sees the decision with the task.

What you can do next

  1. Subscriptions to choose the records you follow.
  2. Notifications for what you receive and why.
  3. Collaborate with your team for a first walk through comments and subscribers.
