Notes and web links

Notes and web links keep the information that is not a file with the project it belongs to. A note holds short formatted text, such as site access instructions or the outcome of a call. A web link saves the address of an outside resource, such as a state permit portal or a client's shared folder. Both are classified by project and client like any other record, so the team finds them in one place.

Where to find them

Notes and web links have their own tabs, Notes and Links. The tabs appear when an administrator turns on the Notes and Links modules in Your name › Settings › System modules. See Activating modules.

You can also save a web link in the Documents tab, next to your files. See Save a web link in Documents.

The form asks for the name and the Url, and classifies the link like a file: project, client, department, document type, industry, and location. The link then appears in the document list, where the team opens it from the Actions column. Use it when the link belongs with the project's files, such as a report published on an agency's website.

Example: a permit application

A project manager prepares a stormwater permit application. She saves the state's permit portal as a web link related to the project, so the team opens it from EVX Software. After a call with the agency reviewer, she writes a note with what the reviewer asked for and links it to the task "Prepare permit application". The team finds both by selecting the project in the left panel.

What you can do next

  1. Documents to store and version the project's files.
  2. Document types to classify files and web documents.
