Welcome to EVX Software
EVX Software brings your firm's projects, time, expenses, billing, and reporting into one platform, from the first task to the final invoice. This documentation shows you how to use it, whether you log hours after a site visit, manage a portfolio of projects, or prepare the monthly invoices.

What EVX Software does
EVX Software connects the parts of your firm's operations that usually sit in separate tools:
- Projects and tasks: plan the work, assign it, and follow it to completion.
- Time and expenses: record hours and costs against the project and task they belong to.
- Billing and invoicing: turn approved time and expenses into invoices that follow each project's contract terms.
- Financial control and reporting: compare budget against actual cost and check project performance at any point.
- Clients, vendors, and contacts: keep the people and companies you work with linked to their projects.
- Documents: store project files, or link them from Microsoft 365 or Google Workspace.
These areas share the same records. A time entry logged after a site visit shows up in the project budget, on the invoice, and in your reports, without anyone entering it twice. For accounting, EVX Software works with QuickBooks Online, QuickBooks Desktop, and Sage 50, depending on your edition.
How EVX Software is organized
A few ideas explain most of what you'll see on screen. Each one has its own page when you need the detail.
- Clients are the organizations your firm works for.
- Contacts hold the people and companies you deal with: clients, vendors and sub-consultants who provide services, and your own staff.
- Projects hold all the work, cost, and billing for one engagement. A proposal is a project at the bidding stage, and it becomes the active project when the work is awarded.
- Tasks are the activities inside a project, assigned to people and tracked to completion.
- Time entries and expenses record the effort and cost spent on each project.
- Dimensions classify every record, for example by client, project, or workspace, so you can filter it and report on it. Your firm defines its own dimensions to match the way it works.
- Permissions decide what each person can see and change.
EVX Software adapts to your firm's workflow, not the other way around. Your administrator can rename items and configure dimensions, so your screens may use different names than these pages. For example, your firm may call tasks "services." This documentation uses the default names.
Understand the core concepts explains how these pieces fit together.
Example: a Phase I ESA from proposal to invoice
Your firm is asked to quote a Phase I Environmental Site Assessment for a property developer. Here is how that engagement moves through EVX Software:
- Proposal. You record the engagement as a proposal, with the client, the scope, and the rate schedule you quoted. See Projects vs. proposals.
- Award. The developer accepts. The same record becomes the active project, and a project template lays out the standard tasks: records review, site reconnaissance, interviews, and the report.
- Fieldwork. Your team logs hours against each task, for example in the Weekly View Matrix, and records costs such as mileage and database search fees as actual expenses.
- Control. The project manager checks hours and costs against the budget in the budget control report before the report deadline.
- Billing. Approved time and expenses become the invoice. See Generating invoices.
