Frequently asked questions
This page collects common questions about EVX Software, grouped by topic.
Getting Started
Why do the names on my screen differ from the documentation?
Your administrator can rename items and configure dimensions to match your firm's workflow. For example, your firm may call tasks "services." This documentation always uses the default names, so a page about tasks applies to whatever your firm calls them. Your firm's EVX Software administrator can tell you which default name matches each item on your screen.
Navigation and organization
Why can't I see a project, task, or document?
Two things decide which records you see: the context and filters you have selected, and your permissions.
- Check the left panel and the filters at the top of the module. Selecting a project or applying a filter shows only the records that match. Clear them and look again. See Navigation, dimensions, and filters.
- If the record still doesn't appear, your access may not include that client, project, workspace, or module. Ask your firm's EVX Software administrator to review your permissions. See Permissions and access control.
Projects
Why did selecting a project fill in the client or rate schedule?
In EVX Software, a project is related to its client and its rate schedule. When you select the project on a record, the related fields fill in automatically, so the record carries the right client and rates without extra steps. See Projects.
Should I create a project or a proposal?
Create a proposal while you are bidding on the work. When the work is awarded, update the contract stage on the same record to make it an active project. The scope, budget, and tasks you prepared for the proposal carry over. See Projects vs. proposals.
Time tracking
Should I track time from the task or from the Time module?
The recommended way is the weekly view in the Time module. It works like a timesheet: your tasks for the week are listed, and you enter your hours day by day. See Weekly View Matrix.
The other ways record the same time entries and fit specific moments:
- From an open task, with Add worked hours or Start clock, when you log hours as you work. See Tracking time in tasks.
- From the task list, with a quick action button, if your task preferences show it.
- From the list view of the Time module, to review entries or to record time that is not tied to a task. See Tracking time from the Time module.
What should I check before submitting time or expenses?
Review each entry for:
- The date.
- The project and task.
- The labor category.
- The hours or the amount.
- The billable status.
- A clear description of the work or cost.
- Supporting documents, such as receipts.
Financial management
Why is a task missing from an invoice?
An invoice includes a task when the task meets the conditions your firm's billing uses. Check that the task:
- Is marked as billable.
- Is classified to the project you are invoicing.
- Has the right labor category and rate schedule.
- Has approved time, or the financial values your workflow requires.
See Generating invoices.
Integrations
Can EVX Software connect to QuickBooks?
Yes. EVX Software works with QuickBooks Online and QuickBooks Desktop:
- QuickBooks Online syncs automatically once it is connected.
- QuickBooks Desktop works through a file. EVX Software generates a file in a format QuickBooks Desktop accepts, and you import it into your QuickBooks Desktop installation.
EVX Software also works with Sage 50. Which integrations your firm can use depends on your edition.
See QuickBooks Online setup and requirements and QuickBooks Desktop setup and manual sync.
