Documents and notes
This part of the guides covers the files and written information that go with your projects: reports, lab results, site photos, contracts, and permits, along with notes and links to outside resources.
What you will find here
- Documents: the Documents tab, where your firm stores project files, keeps earlier versions of each file, and links files from Microsoft 365 or Google Workspace.
- Uploading and managing files: add files, replace them with a new version, and move them where they belong.
- Document types: classify files as final reports, lab results, site photos, and the other kinds your firm uses, so you can filter by them.
- Notes and web links: keep short written information and links to outside resources with a project.
How it fits together
A document is a record like any other: it belongs to a project or client, and it appears when you select that member in the left panel. You can link a document to the task that produced it or to the invoice it supports, so it is at hand wherever someone needs it. Document types are also a dimension, so your administrator can set them up the same way as the other sections of the left panel.
Example: delivering a Phase I report
A consultant uploads the draft Phase I environmental site assessment to the project as a draft report, linked to the report task. After the senior reviewer's comments, she uploads the revised file as a new version, so the first draft stays available. When the final report goes to the client, its type changes to final report, and anyone who filters the project's documents by type finds it.
What you can do next
- Documents to work with files in the Documents tab.
- Document types to classify your files.
- Linked objects to connect documents to the tasks and records they belong to.
