Classifying records

Classifying a record links it to members of your dimensions, such as a project, a job phase, or a location. Once a record is classified, it appears whenever someone selects those members in the left panel, and it carries their information, such as the project's client and rates.

For what dimensions and members are, see Dimensions.

Jump to:

One member or several

On a task, most dimensions take one member: one project, one rate schedule, one labor category, and one job phase. Locations can take several, for example when field work covers sites in two states. On the edit form, each location you choose appears as its own tag, with an empty field below it for the next one.

On some kinds of records, such as projects, your administrator decides which dimensions accept more than one member:

Tick Multiple values next to the dimension and click Save changes. For example, a project can be allowed to use more than one rate schedule. Only the properties that show a Multiple values checkbox can accept several members.

The other way around, one member holds many records. A project has many tasks, time entries, expenses, and documents.

One project, two locations: each location you choose appears as its own tag.

Classify a record from its form

Every record shows where it is classified in its Related to section. To change it:

  1. Open the record and click Edit in the Actions panel on the right.
  2. In Related to, click the field of a dimension and choose a member from the list, or start typing its name.
  3. To remove a member, click the mark next to it.
  4. Click Save changes.

The dimensions listed in Related to depend on the kind of record. Your administrator decides which dimensions appear on each kind of record. See Setting up dimensions.

What fills in automatically

Some members fill in on their own. When you classify a record in a project, EVX Software also classifies it in that project's client and rate schedule, and in its other linked members. You don't enter them again.

Your administrator decides which members fill in automatically, and whether you can remove them. See Setting up dimensions.

Classify by drag and drop

You can classify a task, a document, or another record from its list by dragging it onto a member in the left panel. This saves opening the form.

  1. In the list, find the record, for example a task in the Tasks tab or a document in the Documents tab.
  2. Drag it onto a member in the left panel, for example a project, and release.
  3. If the record already has a member in that dimension, EVX Software asks whether to replace it or keep both. Choose Replace with the new one to move the record. Choose Keep both - current and new only where the dimension accepts more than one member.

Whether EVX Software asks depends on your preference Action to take on drag and drop to workspace:

Your nameSettingsEdit preferencesGeneral

ValueWhen the record already has a member in that dimension
Prompt user for an actionEVX Software asks whether to replace it or keep both, as in step 3.
Move to new workspace and lose previous workspacesThe new member replaces the current one, without asking.
Add to new workspace while keeping previous workspacesThe record keeps both members, without asking.

A message at the top of the screen confirms the change: "The object has been added to" followed by the member's name. The record now shows that member in its list and on its view page.

Grouping a list, for example with Group by in the Tasks tab, only changes how the list is ordered. It doesn't classify anything. To reclassify a task, drag it to the left panel or edit it.

What you can do next

  1. Dimensions to filter your work by the members you classify in.
  2. Setting up dimensions for what an administrator controls.
  3. Permissions and access control for how access to members is set.
