Finding, filtering, and grouping tasks

Screen reference

The Tasks module has its own filters, grouping options, and ordering controls. Those controls work together with the context selected in the left navigation.

This means a task list can be narrowed in two steps. First, the user selects a client, project, workspace, tag, or other dimension from the left navigation. Then the user applies task-specific filters inside the Tasks module.

The result is a task list that matches both the navigation context and the task filters.

If a project is selected in the left navigation, the Tasks module shows tasks related to that project. If a client is selected, the task list is limited to that client. If a workspace or tag is selected, the task list follows that context instead.

The selected context remains active while the user moves between modules. A user can select a project, review its tasks, open Documents, and then open Time without having to select the project again.

Task filters narrow the list further

The filter controls at the top of the Tasks module apply inside the selected context.

Common task filters include:

FilterWhat it narrows
Assigned toTasks owned by one user, a team, or everyone, depending on configuration.
Assigned byTasks created or assigned by a specific user.
Completed byTasks completed by a specific user.
Created byTasks created by a specific user.
StatusOpen, pending, completed, or other configured task states.
Due dateTasks due inside a selected date range.
Start dateTasks that start inside a selected date range.
Invoicing statusTasks based on billing status, when task billing is used.
PriorityTasks with a selected priority level.
Subscribed toTasks followed by the current user or another selected user, depending on permissions.

These filters are useful only when the user understands the active context. A filter for Assigned to: Maria means different things depending on whether the user is looking at all tasks, one client, one project, or one workspace.

Grouping changes how the list is organized

Grouping does not remove the selected navigation context. It changes how the matching tasks are arranged.

For example, if a user selects one client and groups by project, EVX Software shows the matching tasks grouped under the projects inside that client. If the user selects one project and groups by assigned user, the same project task list is arranged by owner.

Common grouping options include project, assigned user, start date, due date, priority, and tags, depending on configuration.

Ordering changes the sequence

Ordering controls the sequence of rows inside the current task list or group.

A project manager may order by Due date to see the next deadline first. A coordinator may order by Task name to find standard repeated tasks. An operations user may order by Start date to prepare field work.

Ordering does not change which tasks match the filter. It only changes the order in which matching tasks appear.

Example combinations

One projectAssigned to: MariaStart dateMaria's tasks for that project, arranged by start date.
One clientStatus: OpenProjectsOpen tasks for that client, grouped by project.

Environmental consulting example

A project manager reviewing a Phase II ESA project can select the project in the left navigation. The task list then shows work connected to that project.

From there, the manager can filter to Open tasks, Assigned to field staff, with a Start date in the current week. The result is a focused operational list: only the field tasks that need attention for that project and time window.

The same project can also be reviewed through Documents, Time, Expenses, and Reports. The project context remains the same. Each module adds its own filters.

When a task is missing from the list

A task may be hidden because of any active filter.

Check the left navigation first. The selected client, project, workspace, or tag may exclude the task. Then check the Tasks module filters. Assigned to, Status, Due date, Start date, Priority, and Invoicing status can each remove a task from the current view.

Also check permissions. If the task belongs to a project or workspace the user cannot access, it will not appear in the task list.

What you can do next

  1. Review navigation and filters for the full model of context plus module filters.
  2. Review tasks for the task module overview.
  3. Review task fields to understand the fields used in filtering and grouping.
  4. Review daily task monitoring for a working review pattern.
