Custom reports

Screen reference

Custom Reports allow users to build reports directly from the interface without requiring development changes.

These reports provide a flexible way to extract operational information from the system using configurable filters, grouping, and column selection.

Custom reports are commonly used to:

  • identify incomplete records
  • track workflow status
  • review operational assignments
  • export project or task information
  • create client-specific reporting views

Custom reports are built using a configurable interface that allows administrators and advanced users to define:

  • the object type
  • filtering conditions
  • grouping behavior
  • sorting order
  • visible columns
  • export format

Custom report structure

When creating or editing a custom report, the configuration is divided into several sections.

1. basic information

Each custom report begins with basic identification fields.

Report name

The name displayed in the reporting list.

Description

Optional explanation of the report's purpose.

Object type

Defines the base object the report will query.

Examples include:

  • Task
  • Project
  • Timeslot
  • Expense
  • Invoice

The object type determines which fields and filters are available.

Category

Determines where the report appears in the reporting navigation.

Show this report always

This option ensures the report is always visible in the report list.

The "Related to" options should only be used for permission checks and not to filter which reports appear.

2. conditions

Conditions determine which records will be included in the report.

Each condition consists of:

  • Field
  • Operator
  • Value
  • optional Parameter

Conditions can be combined using AND and OR logic.

And logic

Separate condition blocks are evaluated using AND.

This means every condition block must be satisfied.

Example:

Assigned to = Subcontractor AND Vendor = Unclassified

Only records matching both conditions will appear.

Or logic

Multiple values inside a condition block can be combined using OR.

Example:

Vendor = Vendor A OR Vendor = Vendor B

3. field types and available operators

Custom reports support several field types, each with specific operators.

Boolean fields

Boolean fields represent true / false values.

Available condition:

  • Equal To (True, False)

Example

Completed = True

Text-based fields

Applies to:

  • Text
  • Long Text
  • Email
  • Object Link

Available conditions:

  • Like
  • Not Like
  • Equal To
  • Not Equal To
  • Ends With

Example

Task name Like "Review"

This returns tasks whose name contains the word Review.

Dimension member fields

Dimension fields represent classification across organizational structures such as:

  • Projects
  • Clients / Companies
  • Vendors
  • Workspaces
  • Organizations
  • Custom dimensions

Available conditions:

  • Classified in either of the following (multiple) values
  • Classified in this (single) value
  • Not classified in any of the following (multiple) values
  • Not classified in this (single) value
  • Unclassified

Example

Vendor = Unclassified

This returns records that do not have any vendor assigned.

Important note

The Unclassified condition returns records where no dimension member is assigned.

This is frequently used to detect incomplete workflows.

List fields

List fields represent predefined selectable values.

Available operators:

  • =
  • not equal to

Example

Status = Approved

Date fields

Date fields support chronological comparisons.

Available operators:

  • ≥
  • less than
  • ≤
  • =
  • not equal to
  • Empty

Example

Due date greater than 2025-01-01

Example

Due date Empty

Other supported field types

Some fields share filtering behavior similar to text or numeric fields.

Examples include:

  • Address
  • Object Link
  • Amount

4. group by

Reports can group records using one or two grouping levels.

Common grouping options include:

  • Vendors
  • Clients
  • Projects
  • Workspaces
  • Services
  • Other dimensions

Additional options include:

  • Group by specific members
  • Don't show each group details
  • Don't show each group total element count

Grouping is commonly used to summarize records by dimension.

5. display options

Display options control how the report appears.

Available options include:

  • Show comments
  • Show dates with format
  • Show only date for date-time columns
  • Add signature and date field

These options help adapt the report for:

  • on-screen analysis
  • printed reports
  • client exports

6. columns and order

This section defines the structure of the final report.

Order by

Users select:

  • a field for sorting
  • sort direction (Ascending or Descending)

Example

Order by: Updated on – Ascending

Columns to print

The report builder provides two lists:

  • available columns
  • selected columns

Users move fields between lists to configure which columns appear in the report.

7. generated report output

Once a custom report is saved, it is displayed with:

  • report title
  • description
  • applied conditions
  • grouping information
  • report generation date
  • selected columns
  • grouped records

The report interface also provides export options.

8. export options

Custom reports can be exported to:

  • CSV
  • PDF
  • Excel

Exports preserve the filtering and grouping configuration applied in the report.

9. important functional notes

Empty vs unclassified

These are different concepts.

  • Empty applies to fields such as dates.
  • Unclassified applies to dimension member fields.

Example:

  • Missing due date → Empty
  • Missing vendor → Unclassified

Understanding this distinction is essential when troubleshooting reports.

And vs or behavior

  • Condition blocks are evaluated with AND
  • Multiple values inside a condition can use OR

Incorrect grouping of conditions can unintentionally restrict the report results.
