Tags and search

Tags and search help users find information across modules. Tags add flexible labels, while search helps locate records by text or metadata.

What you can do

  • Use tags for cross-cutting labels that do not require a formal dimension.
  • Use global search when you know part of a name or description.
  • Use module filters when you need structured filtering by date, status, assignee, project, or other fields.

Environmental consulting example

A team can tag urgent field tasks or search for all records related to a specific monitoring well or permit number.

Working with tags

Tagging allows you to organize your information quickly. By adding tags to objects, you can classify and group them. Tags are taken from a flat list and can be added at any time, so you don't have to spend much time on building a complicated classification system in advance.

Adding and removing tags

Tags can be attached to basically any object in EVX Software. And you can add not only one, but as many tags as you like to a single object.

To add a tag, simply type it in the corresponding field and select it. While typing, you will notice a so-called suggest dropdown offering you existing tags; you can click on them to add tags more quickly.

To remove a certain tag, simply delete it by clicking on the cross next to it.

Sorting tags

You may sort the Tags' view "Alphabetically" or "By count" if you wish to do so. In case you sort it "By count", the tags that have more objects assigned will be on top of the list, while the tags with fewer objects assigned will be at the bottom.

Deleting tags

You may completely delete tags with the shortcut placed in the Tags view by selecting one tag, and then clicking on the shortcut and confirming that you are sure you want to delete the selected tag. Only administrators are allowed to delete tags.

Filtering content object using tags

To filter information according to the assigned tags, simply click on a tag in the lower left corner of the screen. Filtering will take place immediately. Tags are not listed in alphabetical order but according to the number of objects they are assigned to (the most used tag on top). Please note that you can select only one tag at a time.

To reset the tag filter, simply click on ''All'' at the top.

Please note that a tag will appear in this list as soon as it's assigned to at least one object. Consequently, a tag will disappear from the list as soon as it's not used any longer by at least one object.

If you have a lot of tags and can't find a specific tag, you can search for it by using the ''Filter tags...'' field. As soon as you start typing, the tag list will show only matching tags:

Searching in EVX Software

EVX Software provides a full-text search that allows you to search information regardless of the object type.

One of the new improvements for the EVX Software 2 series is being able to look for document contents text (be it .pdf, .doc, .docx, .osd, .osdf, aside from the traditional .html and .txt).

Searching always takes place in the currently selected Client, Project, Workspace, etc. This can help narrow your search. On the other hand, if you don't find what you expect, you may look for something Everywhere by standing on View all on your left.

It can be found on the top right corner of your screen: simply input what you are looking for, and press on Enter:

For those who are looking for more specific information, you may use the Advanced Search option. This can be achieved through:

  • Click on the search field in the top right corner
  • Select Advanced Search
  • Select which kind of object you will be looking for
  • Add conditions
  • Run your search

Searching tasks

In the following example, we will be looking for tasks that have been:

  • Assigned to Alberta Anderson
  • Created after 01/04/2015
  • Percent completed is greater than 50

Note: You may select different objects and conditions, depending on the object type.

Some modules come with their own specific search box, which will look for objects inside the module from where you are performing the search. These search boxes can be found in the module´s toolbar.

Examples of modules that include this search box are: Email, Notes, Documents, Contacts, Invoices, Tickets, and more.

Deprecated (valid for EVX Software 1.X series)

  • You can enter several words in the search field. EVX Software will then find any information that contains all of these words. If you would like to search only for a specific phrase, then put it into quotes.
  • Asterisks () are wildcards. ''Document'' will match ''Document'' and ''Documents'' but ''Document'' will only match ''Document''.
  • You can search within online editable documents and presentations as well. But you can't search within Word documents, PDFs, and similar uploaded documents.
  • In your user preferences, you can choose between Full search and Quick search (default).
  • The Quick search engine uses MySQL indexes for searching, which makes it quick, but has some limitations: It can't find words shorter than 4 characters (unless MySQL is configured to index them). Read more: MySQL manual
  • The Full search engine can find more results, but it will be really slow with too much data. It has no length limit. Before 1.6.2, it only matched the whole search phrase, but now it matches individual words.
  • Some examples: ''docu'' will match ''MyDocument'' in Full search but not in Quick search. ''a*'' will match all words starting with ''A'' in Quick search, but it will match all words containing ''A'' in Full search.
